3. Personal Data Collected During the Recruitment Process
Personal data means any information relating to the personal or material circumstances of an identified or identifiable individual. This includes information such as your name, address, telephone number, and date of birth, as well as details relating to your professional background or similar information through which an individual can be identified with reasonable effort. Information that cannot be linked, either directly or indirectly, to your actual identity is not considered personal data.
4. Use of Your Personal Data
As part of your application, we process the following personal data:
5. Purpose of Data Processing
Your personal data is processed exclusively for the following purposes:
The legal basis for processing your personal data is Section 26 of the German Federal Data Protection Act (BDSG) in conjunction with Article 88 of the General Data Protection Regulation (GDPR). Processing is necessary in the context of the relationship established during the recruitment process and the initiation of a prospective employment contract.
Providing your personal data as part of the recruitment process is voluntary. However, the provision of personal data is necessary for the processing of your application and/or the conclusion of an employment contract with us.
7. Disclosure of Data to Third Parties
Data submitted as part of your application is transmitted using TLS encryption and stored in a database. This database is operated by Personio, a provider of software solutions for human resources and applicant management. In this context, Personio acts as our data processor within the meaning of Article 28 GDPR. Processing is based on a data processing agreement concluded between us, as the data controller, and Personio.
Apart from this, your personal data will not be disclosed to third parties unless required to comply with legal obligations. Data may, where necessary, be shared with contracted data processors (e.g., recruitment consultants) and with persons who are subject to specific confidentiality obligations, such as legal counsel.
8. Talent Pool
If you have applied for a position but no suitable vacancy is available at that time, we may offer to include your profile in our talent pool. The talent pool enables us to contact you regarding future opportunities. Your consent will be obtained before your data is added to the talent pool. If, after joining the talent pool, you no longer wish to remain in it, please notify us at career@qlar.com.

In the event of anonymization, the data will only be available in the form of metadata without direct personal reference and may be used solely for statistical analyses (e.g., proportion of applicants, number of applications within a certain period, etc.). Due to pending legal proceedings and/or statutory limitation periods, data retention may in some cases extend for several years. You will not receive separate notification when your data is deleted.
Your right to erasure may be overridden by our legitimate interest in the establishment, exercise, or defence of legal claims, which may require the continued retention of personal data. As a result of ongoing legal proceedings and/or statutory limitation periods, retention periods may extend over several years.
If your application is included in the talent pool, your data will be retained for 12 months and subsequently deleted unless renewed consent for further storage is obtained.
Data may also be processed for statistical purposes (e.g., reporting). In such cases, it is not possible to identify individual persons.
If you receive and accept an offer of employment from us, the personal data collected during the recruitment process will be retained for at least the duration of your employment in accordance with our Employee Privacy Notice.
